Introduction

We know that each client has different needs depending on the size, scale and stage of their business.

Especially when starting out, some clients want to keep things lean – implementing purely the legal minimum to trade in the UK. Alternatively, some want a ‘full service’ where we explore the range of benefit options for them and design a benefits programme that is right for their organisation. Others know exactly what benefit plans they would like to implement and simply want someone to administer these for them. Whatever your requirements, we can support you as you set up and expand within the UK.

Working with OutBenz, a key point of difference is that our service doesn’t end at the point of implementation. We provide ongoing administration of your benefits programme, leaving you to focus on growing your business.

In line with these different demands, we have designed a number of alternative ‘client pathways’ to provide the right service for you.

Client Pathways

1.   Minimum necessary to comply with UK legislation

    • Workplace Pension Auto-enrolment – recommendations, set up and ongoing administration of a Qualifying Workplace Pension to enable you to meet your Auto-Enrolment responsibilities

    • Employer’s Liability Insurance (Worker’s Comp equivalent) – we will provide a quotation and facilitate the set-up of suitable cover

2.   Full service including initial consultancy

    • Discovery and Consultancy phase - after consultation we will provide indicative pricing for a benefits programme, balancing the need to control costs with a package of benefits acknowledged as being relevant and of good value. This would be based on a “rich” benefit programme but including various alternative benefit permutations with associated pricing so as to reduce costs. Having agreed what the benefits programme should look like we would then move to:

    • Report and Recommendations with finalised pricing following a broking exercise

    • Implementation – liaising with benefit providers, arranging application forms and employee enrolment forms, setting up online platforms where applicable, creating a comprehensive Benefits Guide for distribution to employees/new hires

    • Ongoing administration – including (but not restricted to) contacting new hires with details of their benefit entitlement when they first join you, supplying Benefits Guide, enrolment forms, application forms, arranging any required medical examinations, assisting with claims and handling any employee queries in relation to your benefits programme; providing you and your accountants with full financial reconciliation of all aspects of the benefits, liaising with your payroll provider to ensure the correct deductions are taken from employee salaries for things like healthcare, dental and Qualifying Workplace Pensions, where applicable and ensuring leavers are removed from the various benefit plans in a timely manner.

3.   Full service excluding initial consultancy

    • For clients who already know exactly which employee benefit plans they want to implement

    • Report and Recommendations with finalised pricing following a broking exercise

5.   Adding in additional employee benefit plans

    • Having started with the minimum necessary to comply with UK legislation, client now wants to provide a full suite of employee benefits and requires initial consultancy so as in pathway 2 above.


    • Client knows exactly which additional employee benefit plan(s) they want to implement so as in pathway 3 above.

    • Either by using a comprehensive email announcement with queries dealt with by phone/email, holding a group presentation(s), or arranging individual employee one to one meetings
  • Benefits overview
    • Prepare a 1-2 page document to assist with the recruitment of new hires
  • Broking
    • Broking exercise followed by report and recommendations for specific benefit scheme providers
  • Financial Protection
    • Provision of Key Person financial protection for the company in the event of losing one of your key people through serious illness or death
    • Shareholder protection insurance
  • Governance Meetings
    • Annual employee benefits Governance meeting/conference call
  • Other Insurances
    • Facilitating commercial insurances such as Employer’s Liability Insurance (legal requirement once you have one UK employee), Small Office Policy, Directors and Officers Liability, Professional Indemnity, Cyber Liability Insurance etc.
  • Renewals
    • Dealing with annual Renewals and re-broking benefits where appropriate
  • Support
    • Support, guidance and expertise to review your existing benefits programme (where applicable)
